Administering Mailing Lists 

A Mailing List will allow you to send one email and have that email go to as many users as you want. To set this up you will need to make a list of 'subscribers' that will be the intended recipients of your emails. Setting up the list of subscribers is fairly straightforward and shouldn't take long.

1. Go to customers.qwk.net, click on account management and log in.

2. Select the email icon.

3. Scroll down to where your email list is shown.

4. Click the 'add' button next to subscribers.

  • Here you can add subscribers one at a time or an entire list at once.
  • You will also notice that there are several email addresses shown at the top of the screen. You may want to consider adding the 'unsubscribe' address to the bottom of your emails to allow customers to unsubscribe from the mailing list. The unsubscribe Email address takes them off the list for you.

5. Once you have added subscribers click the 'add' button next to moderaters.

  • You may only add one moderator at a time.

6. The last thing you will need to do is click the 'list' icon under your Mailing List, this has the settings for the entire mailing list.

  • From here you can customize your settings. The most important one is Message Moderation. By selecting Message Moderation all moderators will recieve an email before the message is sent out to the Mailing List. Once approved, the message will be sent to the subscribers.

7. When you are satisfied with your settings you can log out of the account and begin sending Emails.

Altering MX Records 

An MX Record is how QWK.net servers know where to send email. To change your MX Records you will need the IP Address for the new record, and your login credentials for your QWK.net Shared Hosting account.

1. Go to customers.qwk.net, click on account management and log in.

2. Select the Domains icon.

3. If you have more than one domain, select the domain you want to change and hit 'Go'.

4. Select the 'Edit' icon next to DNS Configuration.

5. Here you wil see all of the current settings for your domain, click the trash can next to the existing MX Record so that you can replace it with your own.

6. Once your old MX Record is removed you may click the link that says 'Add DNS MX Record'.

  • Keep the Name field blank, unless the MX Record is for a third level domain.
  • TTL is how long the record will be good to archive in seconds, standard TTL is anywhere from 24 to 48 hours.
  • Priority is used to tell the server which mail server to attempt to send mail to first when using multiple mail servers.  If using only 1 mail server then 10 is acceptable as it allows for other servers of lower priority to be added before it without having to remove the record.
  • The data field is where you will put either the URL of the new mail server or the ip address, either will work.

7. After you click submit please allow 24-48 hours for the DNS change to take effect accross the world.

Anti Spam Settings 

This article will specify the different setting options for Anti-spam in your QWK.net Shared Hosting account. Both MaxScore Level and Spam Check Level function based on a system that assigns 'points' for how suspicious email appears. Anti-spam filters do not read your actual email, so it filters based on where the email is coming from and how servers are set up. 

1. Spam Check Level 

  • Very Aggressive - The highest setting. This setting will ensure that almost everything delivered to your mailbox will be legitemate email. However, you will lose a lot of legitimate email as well. (Processes messages that score over 2)
  • Aggressive - Most email that is delivered to you should be legitimate, there is still a chance for false positives though. (Processes messages that score over 4)
  • Normal - May block some mailing lists. (Processes messages that score over 7)
  • Relaxed - Accepts semi legitimate bulk mail. (Processes messages that score over 10)
  • Permissive - Accepts almost everything. (Processes messages that score over 14)
  • Default - The default setting is in between Aggressive and Normal. (Processes messages that score over 5)

2. Spam processing

  • Mark as Spam - This will tag suspicious email as spam rather than removing the email before it reaches your mailbox.
  • Remove - This will delete suspicious email before it is even delivered to your mailbox.
  • Move To - This will allow you to specify a junk email account, all spam will be redirected to the specified mailbox.

3. MaxScore Level, if not set to Undefined, overrides spam check level with an alternative scoring system 20 to 500.

  • Very Aggressive - This will only process email that receives 20 points
  • Aggressive - 40
  • Strict - 60
  • Moderate - 80
  • Neutral - 100
  • Soft - 150
  • Permissive - 200
  • Loose - 300
  • Very Loose - 500

Change Email Password 

You will need the login credentials for your QWK.net Shared Hosting Account.

1. Go to customers.qwk.net, click on account management and log in.

2. Select the Email icon.

3. If your account has multiple domains, select the proper domain from the drop down menu in the Mail Domains row and hit 'go'.

4. Select the email address in question from the list near the bottom of the page.

5. In the 'Mailbox' section you will see 'Password' and 'Confirm Password'. Type out the new password in both of these fields then scroll to the bottom of the page and click 'Submit'.

6. The new password will begin working immediately.

Create an SPF record 

 

 

To enable SPF on your QWK.net Shared Hosting account please do the following.

 

Log into your QWK.net Shared Hosting account at customers.qwk.net.

Select the E-Mail icon.

Click the button that shows as 'off' next to SPF.

 

To manually create your own SPF file you may do the following.

 

Log into your QWK.net Shared Hosting account at customers.qwk.net.

Select the Domains Icon.

Select the domain name you wish to add SPF for.

Click Edit next to DNS configuration.

Click the Add DNS TXT Record link.

From here you can add a TXT record.

 

Your SPF record may look something like this.

 

@ IN TXT "v=spf1 a mx -all"

 



v=spf1 - defines this is an SPF record

a - allows the A record to send email


mx - allows the MX record to send email

Creating a Mailing List 

These are the steps to creating a Mailing List in your QWK.net Shared Hosting account. Before you get started you will need to make sure that you have your QWK.net Shared Hosting account login credentials.

1. Go to customers.qwk.net, click on account management and log in.

2. Click the email icon.

3. Select the domain name that you would like the mailing list on in the Mail Domains row and click 'Go'.

4. Scroll down and click on the New Mailing List link.

5. Type in the address you want your subscribers to recieve mailings from and submit.

6. You now have your own Mailing List.

Creating an Email Account 

These are the steps to creating a new mailbox on your shared hosting account. This will take about 5 minutes. Before you get started make sure you know your login credentials for your QWK.net shared hosting account.

1. Go to customers.qwk.net, click on account management and log in.

2. Click on the e-mail icon.

3. From the drop down menu next to 'mail domains', select the desired domain name for which you wish to create a mailbox.

4. Click the 'New E-Mail' link.

5. Type in your email address and password, then complete the sections correlating with the options you desire for this email address. (Be sure to check the box next to any sections you fill out to ensure that the function is activated.)

  • There are several options to choose from. All of these options can be changed at any time. The Auto Responder allows you to create a message that will be sent to anyone who emails this account.
  • Mail Aliases will allow you to create two email addresses that will share a mailbox.
  • Mail Forwards allow you to direct emails to specific mailboxes of your choosing.
  • You will need to be positive that you check the box next to 'mailbox' before submitting, if this is not checked the mailbox will not be created.

6. Finish by clicking submit at the bottom.

Creating an Email Auto-Responder 

  1. Go to http://customers.qwk.net and click on Account Management, then log in using your control panel credentials.
  2. Click on the "Email" button under the Email section of the Control Panel.
  3. Under "Mail Domains" make sure the correct domain is listed under the pull-down menu.
  4. Click on the email address under the "Email Setup Functions"
  5. Scroll down and find the section that says "Auto-responder"
  6. Click the checkbox to activate the address with an auto-responder
  7. Fill in the subject with what you would want a user to see who emails you
  8. Fill in a message for them to receive
  9. Click "Submit" at the bottom
  10. You have successfully setup a server-side email auto-responder.

Creating an Email Forward 

This will guide you through creating a forward from an existing mailbox. If you need to create an Email account first, please refer to this article. Before starting, please make sure you have your login credentials for your shared hosting account.

1. Go to customers.qwk.net, click on account management and log in.

2. Select the email icon.

3. From the Mail Domains row, select the domain that the email account is on and click 'Go'.

4. Scroll down and select the email account that you would like to forward from.

5. Check the box next to Mail Forward and type in the email account(s) where you would like to receive the forwarded e-mails.

  • If you want to remove the mailbox so that this account no longer keeps emails, uncheck the box next to mailbox. Once the mailbox is full it will stop accepting email and the forward will break.

6. Click submit at the bottom and your forward should begin working immediately.

Delete an Email Account 

You will need your QWK.net Shared Hosting account login credentials to delete an email account.

1. Go to customers.qwk.net, click on account management and log in.

2. Click on the email icon.

3. Select your domain from the dropdown menu at the top right and click go.

4. Find the email address in question and click the trash can to the far right of it.

5. It will ask for your permission, if you click the link 'Yes, I agree with the above', it will remove the resource.

  • Any email that is not backed up locally will be lost.

Email Quotas 

There are several things that can lead to a mailbox hitting its quota. The most common issue is Email clients not deleting email when they take it off the server. Every mail client is different so you will want to look up a guide for your particular client online, generally in advanced settings there will be an option to have your Email client remove messages from the server. In some cases the mailbox is just too small though, these steps will guide you through increasing the size of a mailbox on your QWK.net Shared Hosting Account.

1. Go to customers.qwk.net and select Account Management, you can log in from there.

2. Click the Email icon in your control panel.

3. For accounts with more than one domain, you will need to select the domain associated with the mailbox in question and hit 'Go'.

4. Scroll down to where the Email accounts are listed, click on the current limit (This limit will be a blue number).

5. Enter the new limit for your mailbox and hit submit.

  • If your new quota exceeds the maximums on your account, the next screen will tell you how the changes will augment your next bill and ask for permission to proceed.

Email White lists and Black lists 

A white list is a group of senders that antispam will overlook. It is a list of trusted senders that you always want to recieve email from. A black lists is the exact opposite, it is a list of senders that you never want to recieve email from. To access your whitelist and blacklist you need to have the login credentials for your QWK.net Shared Hosting account.

1. Go to customers.qwk.net, click on account management and log in.

2. Select the email icon.

3. In the Mail Domains row, select the domain that you want to manage black lists/white lists for and select 'Go'.

4. Now you need to make a decision, do you want to change lists for the entire domain or just a specific email account.

  • If you want to manage lists for a specific email account scroll down to where the email account is located and click the antispam icon associated with the account. If you do not see an antispam icon then you will need to enable it, instructions to do so are found here.
  • If you want to manage lists for the entire domain select the antispam icon in the antispam row under Mail Service.

5. You should be looking at a screen that has all of your antispam settings, the boxes we are interested in are the White list and Black list.

6. Add specific email accounts in either list and click submit when you are done. These lists will begin working immediately.

  • Lists can be comma, semicolon, tab, and return character delimited.
  • You can add entire domains to either list by using an asterisk in front of the domain I.E. *@theirdomain.com.
  • A white list will only allow email in from servers that are not on global blacklists. If an email account on your white list is still unable to email you then their IP Address has likely been flagged for spam in the last 24 hours.

How to Enable Antispam 

Enabling antispam is a fairly simple process. You will need the login credentials for your QWK.net Shared Hosting Account before following these steps.

1. Go to customers.qwk.net, select Account Management and log in.

2. Select the Email icon.

3. In the Mail Domains row select the domain that you wish to add antispam to and select 'Go'.

4. There will be an antispam row under Mail Services. Click on the add icon next to 'all mailboxes'.

  • If you want to enable antispam for an individual mailbox you will want to select the specific email address from the list and check the antispam box.

5. Once this is added you will see antispam icons show up next to each mailbox you enabled antispam on. Antispam will begin functioning immediately.

Spamrats 

Spamrats is what is known as a 'Global Blacklist'. If someone is recieveing a bounceback from QWK.net mentioning spamrats it means that an IP Address between you and them has been blacklisted recently for sending spam, or the people sending to you are not conforming to best practices for sending email.

Feel free to refer them to http://www.spamrats.com/removal.php where they can work on getting themselves removed from spamrats. QWK.net chooses to use spamrats to limit the amount of spam that gets through to our customers, but obviously every anti-spam measure is going to block a good message at some point. QWK.net cannot remove this block without affecting all its customers.

SPF Record 

Spammers have an ability to spoof emails and make them appear to come from a place that they did not. The general idea behind this is that you are more likely to open up an email that is coming from yourself. The only information you need to do this is your login credentials for your QWK.net Shared Hosting account and to know which domain you are having problems with. Follow these steps to stop these emails.

1. Go to customers.qwk.net, click on account management and log in.

2. Select the Email icon.

3. Scroll down until you see a row for 'SPF'.

4. Click the icon next to SPF that says 'off'.

5. This screen will have 4 options, select fail if you want this spam to not be delivered and select softfail if you just want it flagged as spam.

  • If you have any mail aliases to this domain you will want to click the 'Apply the selected option for all domain aliases with SPF' box.

5. Click submit and you should stop recieving emails from yourself almost entirely. If you continue recieving spam from yourself it may be time to review your anti-spam settings.

A Sender Policy Framework (SPF) is a way to explicitly define which mail servers are allowed to send email from your domain name. SPF records are very easy to create and can solve a number of issues regarding sending email.
